The hardest part is not the service. It is everything around it.

Independent funeral homes manage 200 to 400 cases per year. Behind each one sits a stack of intake forms, phone calls, regulatory filings, vendor schedules, and family follow-ups that too often fall to one or two people. The work is important. The repetition does not have to be manual.

Intake that goes sideways

Missing information discovered two days in. Family members who were not notified. Duplicate data entry across paper forms and your management system. Every handoff is a potential gap, and gaps cost you time you do not have during a live case.

Scheduling under impossible pressure

Coordinating clergy, venue, pallbearers, florists, obituary publication, and transport across three days with two staff members and a phone that never stops ringing. One missed confirmation ripples into a family's worst day.

Compliance that eats your Fridays

State-specific death certificate requirements, burial permits, cremation authorizations, and Veterans Affairs paperwork all come with different formats, deadlines, and filing channels. A single missed checkbox delays the family and exposes your license.

Five systems, unified around every case.

Funeral AI connects intake, scheduling, documentation, communications, and after-care into a single workflow. Each feature was designed around the way a small funeral home actually operates, not enterprise assumptions imported from hospital software.

Guided Intake Coordination

A structured intake workflow walks your staff through every required detail at first notification: deceased information, family contacts, authorization signatories, disposition instructions, service preferences, and special requests. Nothing gets missed because the system will not let you proceed without it. The completed intake auto-populates your case file so you never type the same name twice across three different forms. For families who cannot come in immediately, Funeral AI sends a secure intake link they complete on their own device. You receive a fully structured record the moment they finish, with any gaps clearly flagged for your follow-up call. Families who use the portal consistently report feeling that the process was handled with more care and organization than they expected.

Arrangement Scheduling

Build the full arrangement timeline in one view: visitation, service, committal, and any concurrent or follow-on events. Funeral AI tracks facility availability, hearse scheduling, clergy confirmation, and vendor lead times simultaneously. When something changes, it recalculates downstream dependencies and flags conflicts before they become problems. External vendors receive automated confirmation requests with the relevant case details. You see response status at a glance, with unconfirmed items surfaced each morning until resolved.

Compliance and Documentation

Funeral AI maintains a per-state requirements database updated quarterly. For each case it generates a documentation checklist: which death certificates are needed, where to file, what forms are required for burial permits or cremation authorization, and whether Veterans Affairs paperwork applies. Pre-filled drafts pull from intake data. Review, adjust, and submit. Each filed document logs the date, staff member, and filing channel for a complete records audit trail your state board will appreciate.

Family Communication Automation

Families want to know what is happening without having to call every few hours. Funeral AI sends real-time status updates at each milestone: case received, arrangements confirmed, obituary submitted, permits filed, service reminder 24 hours out, and aftercare resources following the service. Messages go by SMS or email based on each family's preference. You control the content and the tone. Your name and phone number appear on every message. The family feels attended to without requiring two hours of outbound update calls from your staff each day.

After-Care Outreach

The relationship with a family does not end at the graveside. Funeral AI schedules a structured after-care sequence: a check-in message at 30 days, grief support resources at 60 days, and a gentle memorial anniversary acknowledgment at one year. These are not marketing messages. They are the human touches you intended to send but rarely had time for. Families remember them. They become the reason referrals happen naturally, without asking for them.

From setup to your first case in one afternoon.

Funeral AI was built for two-person operations, not IT departments. There is no complex integration project, no weeks of onboarding, and no consultant required. If you can use a web browser, you are ready to go.

01

Configure Your Location

Enter your state, facility details, standard service types, and the staff members who will use the system. Funeral AI pulls the relevant compliance requirements for your jurisdiction and sets your default communication templates. This takes about 30 minutes. You do not need your tech vendor, a consultant, or your nephew who knows about computers. The setup walkthrough is recorded and 22 minutes long. Most directors pause it twice.

02

Open Your First Case

When a first call comes in, open a new case. The guided intake form walks you through each section. Required fields are clearly marked. Optional fields are labeled so you know what to gather at first call versus what can wait for the arrangement conference. The case populates a live timeline that grows as details are confirmed and vendors respond.

03

Work the Case

Each morning, Funeral AI surfaces what requires attention across all open cases: outstanding vendor confirmations, documentation deadlines, scheduled communications, and anything flagged as delayed. Your staff see only the tasks assigned to them. You see everything. When the case closes, the record archives automatically and after-care outreach begins on its own schedule.

6 hrs administrative hours saved per case
94% intake completion rate on first contact
Zero permit deadlines missed in pilot homes
3x more families receiving after-care follow-up

"We were running four cases simultaneously with two staff members. Between permit filings, vendor calls, and family updates, something always fell through a crack. Funeral AI turned that chaos into a checklist I actually trust. The family communication piece alone has changed how families perceive our service."

Things directors ask before they sign up.

Will this replace my funeral home management software?

No, and we are not trying to. Funeral AI is an operations and communications layer that sits alongside your existing management system. You continue using whatever you use for accounting, merchandise inventory, and state EDR submissions. We handle intake coordination, scheduling, documentation checklists, and family communications. We export clean case records that drop into your existing system. Most directors describe it as the layer between the phone call and the management software that used to be a notepad and good intentions.

Is family information secure?

Yes. All data is encrypted in transit and at rest. The platform is designed with HIPAA principles in mind, including role-based access controls so staff see only what they need for their responsibilities. Family information entered via the secure intake portal is transmitted over an encrypted connection and stored under your account only. We do not sell or share family data. You own the records. When you close your account, we provide a full export and then delete your data on request.

What states are supported for compliance documents?

All 50 states are covered on the Professional and Multi-Location plans. The Solo plan covers a single state of your choice. Compliance requirements are reviewed and updated quarterly by our team. When regulations change in your state, your checklists update automatically and you receive an in-app notification. You do not need to track legislative changes yourself.

How long does setup take?

Most directors are fully configured and running their first case within one afternoon. The initial setup involves entering your location details, service types, staff accounts, and reviewing the default communication templates. We provide a recorded setup walkthrough. Professional and Multi-Location plans also include a live onboarding call. There is no IT project, no data migration, and no installation.

Can I cancel if it does not work for my operation?

Yes. Month-to-month billing with no contracts. If you cancel, you can export all your case records in standard CSV format before your access ends. We are confident the platform will prove its value in the first 30 days, which is why we do not require annual commitments to get started.

Do families interact directly with the Funeral AI platform?

Only through the optional intake portal, which you control. Families receive a secure link to complete intake information at their convenience. They see a clean form. They do not log into any Funeral AI interface, create accounts, or receive any communication that identifies Funeral AI as the platform behind the experience. All outbound messages appear to come from your funeral home, with your name and contact information. To the family, it simply looks like your home is more organized than most.
