Tour Operations Intelligence

Run your tours.
Not your inbox.

Tour AI handles booking confirmations, guide scheduling, waiver delivery, and pre-trip communication automatically, so you can lead the adventure instead of managing the paperwork.

Tour operators are buried in logistics that should be automated.

You built a tour business to create experiences. Instead, most of your week disappears into repetitive admin that a well-configured system could handle in seconds.

🏤

Inquiries at all hours

Guests contact you at 11pm expecting instant answers about dates, availability, group sizes, and what to bring. Every hour of delay is a booking lost to a competitor who responded faster.

📅

Guide scheduling friction

Confirming availability, assigning the right guide to the right tour, handling last-minute swaps around weather or illness -- all of this takes hours every week and still produces conflicts that blindside you the morning of a departure.

📋

Waivers and pre-trip packets

Chasing unsigned waivers the night before a tour, resending the same packing list for the hundredth time, tracking who completed onboarding. These are the jobs that compound every season until they consume entire days.

Reviews left uncollected

Most guests would leave a review if you asked at the right moment. But you are already on to the next group and the follow-up never happens. Your star rating on every platform suffers quietly for years.

Every operational headache, handled in the background.

Six systems that run continuously from the moment a lead lands to the review request three days after the tour ends.

01

Intelligent Booking Intake

Prospects fill one clean form. Tour AI captures group size, preferred dates, experience type, dietary needs, and fitness level, then sends a confirmation with availability status, deposit link, and a pre-booking FAQ page. Instantly, without you touching a keyboard. Partial completions trigger a follow-up sequence after 24 hours.

02

24/7 Inquiry Response

Train Tour AI on your tour descriptions, pricing tiers, cancellation policy, and the questions you answer every single week. From that point forward, every inquiry gets a detailed, on-brand reply in under three minutes at any hour. Escalation to you only happens when the question is genuinely novel or involves a booking dispute that requires human judgment.

03

Guide Assignment Engine

Connect your guide roster with their availability windows, certifications, language skills, and preferred tour types. Tour AI recommends optimal assignments for each confirmed booking and surfaces conflicts before they turn into emergencies. Weather-triggered reassignments notify affected guides automatically, including updated meeting points and group details.

04

Waiver and Pre-Trip Automation

Digital waivers route to every confirmed guest 14 days out, with automated reminders at seven days and 48 hours. Packing lists, meeting-point maps, what-to-expect guides, emergency contact forms, and photography consent notices all deliver on schedule. You open the morning of a tour knowing paperwork is complete across the entire group.

05

Post-Tour Review Campaigns

Three hours after a tour ends, guests receive a warm personalized thank-you with a direct link to your preferred review platform. Well-timed follow-up generates review responses at three times the rate of cold asks sent weeks later. Tour AI tracks who responded and suppresses repeat requests so guests are never pestered.

06

Season and Capacity Dashboard

A single view shows every tour, every guide assignment, waitlist depth, deposit status, waiver completion rates, and review response counts. Filter by date range, tour type, or guide name. Export to spreadsheet for your accountant or share a read-only link with a business partner who needs visibility without system access.

Before Tour AI, I spent every Sunday afternoon manually confirming next week's guests, chasing waivers, and texting guides about assignments. Now I open the app on Sunday morning and it is already done. I used that recovered time to add a second weekly departure and grow revenue by 40 percent without hiring anyone.

Adventure tour operator, Pacific Northwest -- 4 guides, 280 tours per season

Operational in one afternoon.

No developer required. Tour AI connects to your existing booking channels and becomes your operations layer in four steps.

1

Import your tours and guides

Upload your tour catalog, guide roster, and current schedule in CSV format, or connect directly from Fareharbor, Checkfront, or Rezdy. Your existing data is the foundation and nothing is rebuilt from scratch.

2

Configure your voice and policies

A 20-question setup wizard captures your brand tone, cancellation policy, FAQ answers, pre-trip requirements, and standard safety language. Tour AI drafts its own training copy from your answers. Review it, refine it, approve it.

3

Embed the intake widget

One line of code adds the Tour AI booking intake widget to your existing website. If you do not manage your own site, use the hosted page link instead. Either path takes under 10 minutes and leads start flowing into the system immediately.

4

Review, approve, then step back

For the first week, review every AI response before it sends. Once you are satisfied with tone and accuracy, switch to auto-send and receive a daily summary digest instead. Most operators make the switch by day five. Their inbox shrinks by 80 percent.

Built for every kind of experience operator.

From two-hour city walks to five-day wilderness expeditions, Tour AI adapts to the operational shape of your specific business.

Adventure and Outdoor Tours Hiking, kayaking, rafting, climbing -- high guide-to-guest ratios and weather-dependent scheduling demand reliable automation.
City Walking Tours Multiple daily departures, high booking volume, seasonal staff spikes -- exactly the volume where manual management breaks down first.
Wine and Food Tours Partner venue coordination, dietary tracking, private group customization, and upsell management for tasting add-ons.
Charter and Boat Experiences Safety briefing delivery, capacity and weight management, weather-hold communication, and pre-departure passenger manifests.
Eco and Wildlife Tours Conservation briefings, photography conduct rules, fragile-site group-size enforcement, and early-morning departure logistics.
Cultural and Heritage Tours Multi-language guest support, venue access windows, group-size limits, and itinerary customization by interest level.
Ghost and Mystery Tours Evening scheduling blocks, age verification, repeat-guest recognition, and after-dark safety briefing automation.
School and Group Programs Permission-slip tracking, teacher briefing packets, chaperone coordination, and coach count reconciliation before departure.

FAQ

Do I need to change my existing booking platform?
No. Tour AI integrates with Fareharbor, Checkfront, Rezdy, and Bokun. If you use a different platform, the standalone intake widget works as a layer on top. You keep the booking software you already rely on and Tour AI handles the operational layer behind it.
How does the AI know how to answer our specific tour questions?
During setup you complete a detailed questionnaire covering your tours, policies, seasonal schedules, and brand voice. Tour AI builds a knowledge base from your answers. You review and approve every response during the first week, and can update the knowledge base at any point. The system improves from your corrections automatically.
What happens when an inquiry falls outside what the AI knows?
Any question the system is not confident answering routes to your inbox immediately, with the guest's full conversation history and a suggested draft reply. You approve, edit, or override. The AI logs your response and applies it to similar questions in the future so the same escalation rarely occurs twice.
Is guest data stored securely?
Guest data is encrypted at rest and in transit using AES-256. Tour AI stores data on infrastructure in your region and is SOC 2 Type II compliant. Waivers and personally identifiable information are retained according to your configured retention schedule and deleted on the dates you specify.
Can guides see their own schedules without accessing the admin panel?
Yes. Each guide gets a read-only mobile view showing their upcoming assignments, tour details, group manifests, and any last-minute notes. Guides can flag availability changes and receive push notifications for schedule updates. No guide needs access to booking data, financial information, or your full admin account.
What is included in the 14-day free trial?
Full access to the Growing Operation plan for 14 days, no credit card required. You can import your tour catalog, complete setup, and process real bookings. If you decide Tour AI is not right for your operation, cancel before day 14 and owe nothing. No sales calls required to start.
