Frequently Asked Questions

FMCSA CSA Score Drop Monitor & Voice Agent

What is CSA and why should I monitor it?

CSA stands for Compliance, Safety, Accountability. The CSA score directly impacts your ability to operate: insurers use it to set premiums, shippers use it to prequalify carriers, and regulators use it to determine inspection frequency.

A CSA score drop signals rising compliance risk. Catching it early means you can address root causes (maintenance issues, driver behavior, paperwork problems) before they cascade into fines, out-of-service orders, or lost business.

How often is the CSA data updated?

The FMCSA Safety Measurement System (SMS) updates weekly. Our monitoring system checks the data weekly and flags your account if your CSA percentile crosses into the warning band (typically above the 35th percentile for some categories).

When we detect a drop, we trigger the voice agent call within 48 hours to connect you with a compliance consultant who can help diagnose the issue.

What triggers the voice agent call?

The system monitors your CSA percentile in real time. When your score crosses into the warning band for any FMCSA category (Unsafe Driving, Crash Indicator, HOS Compliance, Vehicle Maintenance, or Hazmat Compliance), we automatically schedule a voice agent call to your DOT contact.

The call is personalized to your company name and mentions the specific category that triggered the alert, so the conversation is immediately relevant.

How does the TivAI voice agent work?

TivAI is a conversational voice agent that calls and speaks naturally. The agent will introduce itself, explain why the call is being made, and try to schedule a compliance consultation with a qualified expert.

If you don't answer, the agent leaves a clear voicemail with the alert details and a callback number. The agent can be customized to mention your specific business domain (freight, logistics, etc.) and even your company's compliance history.

What is a compliance consultation?

A compliance consultation is a 20-30 minute call with a certified compliance expert (often a former DOT official or safety director) who reviews your CSA score, identifies the root causes of the drop, and recommends corrective actions.

Common outcomes: audit findings (safety equipment, logbook practices), driver training plans, maintenance schedules, or paperwork corrections. Many carriers recover their scores within 60-90 days of addressing the root cause.

How do I schedule or reschedule a consultation call?

When the voice agent calls, you can confirm availability or ask to be called back at a specific time. The agent will add you to the TivAI reseller portal where you can view your scheduled call, reschedule if needed, and see the consultant's credentials and background.

You can also access the portal directly to book an available time slot without waiting for the initial call.

What does this cost?

This service is typically bundled with your compliance or insurance products. The voice-agent monitoring and initial consultation call are included in most contracts. Premium add-ons include ongoing audit support and remediation tracking.

Contact your account manager or the reseller partner for specific pricing and your company's plan details.

How long does it take to set up?

Setup is typically under 1 hour. We need your DOT number, the phone number to call (dispatch, safety manager, or operations), and confirmation of your company name as it appears in FMCSA records.

Monitoring begins within 24 hours. You'll receive a welcome email and portal access credentials so you can track your CSA metrics in real time.

Can I customize the voice agent's messaging?

Yes. The agent can be configured to mention your industry (freight brokerage, owner-operator, fleet, etc.), your preferred contact method, and any company-specific context that makes the call feel more relevant and trustworthy.

You can also set quiet hours (e.g., no calls before 8am or after 6pm) and specify backup contacts if the primary phone isn't available.

What if my score drops quickly? Will I have time to address it?

CSA percentiles update weekly, so you'll get our alert within days of a score drop. The 48-hour voice agent call gives you immediate access to expert guidance.

Many compliance issues can be fixed quickly (driver training, vehicle repair, logbook corrections). The average remediation timeline is 60-90 days, and proactive action often shows improvement within the first 30 days.
