Is Elder AI HIPAA compliant?
Yes. Elder AI signs a Business Associate Agreement with every facility before any data flows. All resident data is encrypted in transit and at rest. Our infrastructure runs on AWS in HIPAA-eligible regions. We do not sell, share, or use resident data for model training. Your data is yours, always. Full compliance documentation is available on request before you commit to anything.
Does Elder AI work with our existing EMR?
Elder AI integrates directly with PointClickCare and MatrixCare, covering roughly 70 percent of skilled nursing and assisted living facilities in the US. We also support Netsmart and offer a universal CSV import for facilities on other platforms. Standard and Multi-Site customers can request custom integrations, and we build them at no additional cost for common systems.
How long does it take to train caregivers?
Most caregivers are comfortable with Elder AI after a single 30-minute walkthrough. The interface is designed to be used on a phone or tablet mid-task. We provide print-and-post quick reference cards for every station, short video tutorials for each module, and a live onboarding session with your administrator on the day you go live. Facilities running rotating shifts train staff in cohorts over 2 to 3 days.
Can we customize the care note templates for our state?
Yes. Administrators can create custom note types, add required fields for state-specific documentation requirements, and set default language to match your facility's existing documentation standards. Template changes take effect immediately across all caregiver accounts. Every version is archived so you can see exactly what changed and when, which matters during audits.
What happens to our data if we cancel?
You own your data completely. If you cancel, we provide a full export of all care notes, incident reports, and family communication records in standard formats within 5 business days. We retain your data for 30 days post-cancellation in case you reconsider. After that window, all resident data is permanently and verifiably deleted from our systems. We provide a deletion certificate on request.
