# Kristin Holladay, Practice Manager at Whitestone Aesthetics (Charlotte, NC) — read of Spa AI, May 7 2026

> 9 years in the aesthetics space, currently managing 2 locations and a front desk team of 6. We're on Mindbody. My husband does the books and asks me every quarter why our rebooking rate isn't higher.

## How I got here

Someone dropped this link in the Aesthetics Business Network Facebook group with the comment "finally someone who gets it." That's the fastest way to get me to click anything. I was eating lunch at my desk (leftover pad thai, son's baseball game at 6, trying to not be late again) and I had maybe 8 minutes. I skimmed the hero, then actually slowed down and read the whole thing.

## What I clicked first

The line that got me was "Your best clients haven't booked in four months. Your booking software knows this. No one acted on it." That is our exact problem, written out. I have told my coordinator this almost word for word. We can pull the report in Mindbody. We just never actually work it because by the time someone gets to it on a Tuesday, we're already into three walk-ins and a cancellation and the moment is gone.

## Where I paused

The "Predictive Rebooking Windows" section. "The system learns natural rebooking cadence for every treatment type -- four weeks for injectables, eight weeks for laser -- and notifies your team three days before the ideal follow-up window closes." I stopped here because that's the thing nobody solves cleanly. Mindbody will let you set up automated emails but they go out on a schedule, not when someone's actually lapsing relative to THEIR pattern. If this actually works the way it says it does, that's a real difference. I don't know yet if it does.

## What I distrusted

Three things, in order of how much they bothered me.

One: "34% Average rebooking lift in 60 days." Average across how many practices? What size? What baseline rebooking rate did they start from? A practice at 20% retention recovering to 27% is not the same story as a practice at 55% going to 74%. The number is floating in space with no denominator.

Two: The testimonials. "Dana Whitmore, Owner, Lumiere Aesthetics -- Scottsdale, AZ." "Marcus Tran, Medical Director, Revive Med Spa -- Austin, TX." "Jennifer Castillo, Practice Manager, PureForm Studio -- Denver, CO." These are a little too geographically spread, a little too demographically varied, a little too quotable. They could be real. They could be composites. I can't verify them and there are no photos, no links to their actual businesses, no way to check. Marcus Tran saying "average ticket went up 18 percent in two months" is specific enough to be interesting, but also specific enough to be invented.

Three: "$1,240 Extra revenue per recovered client." This one really bugs me. That's an oddly precise number. Where does it come from? Is that per year of lifetime value? Per recovery event? What's the average treatment price assumed in that math? This is the kind of stat that sounds like it came from a press release the founders wrote themselves.

## What would convince me

I want one case study that looks like my practice. Not a testimonial quote, a case study. Two locations, 1,500 to 3,000 active clients, Mindbody, mostly injectables and laser with some retail. Tell me what their rebooking rate was before, what it was 90 days after, what the coordinator workflow actually looked like on day one versus day 45. Show me a screenshot of the actual daily action list so I can see what my team would stare at every morning.

Also: is there a trial that doesn't require a credit card? The page says "Start Free Trial" but I don't know if that means 30 days free with a card on file or actually free to start. That matters because I am not putting a card in until I've seen the integration actually work with our Mindbody data.

## What I'd ask in an email reply

1. The Mindbody integration -- does it read appointment notes, or just appointment type and date? Because a lot of our provider notes live in the notes field and that's where the context is for what to recommend next.

2. What does the "suggested script" actually sound like? Can I customize the tone or is it generic? My coordinator has her own voice and she won't use a script that sounds like it came from a chatbot.

3. You say "cancel any time with 30 days notice" -- if I cancel after month 2, do I lose access to the client history and scoring data I built up, or does it export in something I can actually use?

## Verdict: curious-enough-to-reply

The problem framing is accurate enough that whoever wrote this has actually talked to people in this industry, and the feature set maps to real gaps I deal with every week. I'd send one email. I'd keep it short and see if the response feels like a human or a sequence.
